First things first. To find success we must establish collaborative goals. One of the easiest ways to begin is to complete a quick survey that will clarify an understanding of your vision and provide some necessary details for the project to come.

Our second step is to understand your existing marketing ecosystem by reviewing your website and social accounts, email system, print and digital collateral, and marketing calendar. We evaluate these assets along specific metrics in order to understand how to best move forward relative to your goals.

Our third step is to plan a pathway to success. This takes the form of an integrated marketing plan that details a strategy and timeline to achieving your goals by building out your marketing ecosystem.

Retainer Schedule

TIME-BASED RETAINER

A project-based invoicing schedule has its place, but when a client needs long-term support it is best to transform the relationship into a strategic partnership which often involves transitioning to a retainer invoicing schedule.

 

Setting a time-based retainer allows hours to be committed to Hope City even when there is heavy work load from other long-term clients. A 20 hour retainer, for example, creates an expectation that 20 hours will be committed to Hope City during the weeks covered in the contract term.

 

So you may be asking, “how does a time-based retainer actually work?”

 

With a time-based retainer, a set amount of prepaid hours are billed weekly at a discounted rate. The prepaid hours are drawn against as work is completed each week. Prepaid hours cover both scheduled and unscheduled tasks, so if a project pops up with little notice, a time-based retainer covers it as long as there are hours remaining. If time exceeding the pre-paid amount is required, it is invoiced to Hope City in addition to the scheduled retainer fee at standard rate.

 

As a result, a time-based retainer can fit into a budget of any size. The hours invoiced will not exceed budget as long as it is set appropriately from the beginning. Retainers can also be adjusted relative to budgetary changes which allows the project to grow as Hope City grows.

We’ve averaged approximately 8.5 hours per week over an 11 week period (excluding 2 weeks in which our schedule was adjusted due to illness).

Time commitment varied substantially project to project. While some required as little as 1 hour, others required many times that amount. 

RETAINER PROPOSAL

Based on the data above, a time-based retainer of 15 hours per week should provide a reasonable minimum segment wherein approximately 9 hours will be set aside for new design work, and 6 hours will be set aside for evaluation and planning. The time will accrue on a sliding scale so that if there is not 9 hours of new work to be completed, more time will be focused on evaluation and planning. In this way, we fulfill the set retainer until Hope City's marketing pathway is complete. Once there is a confirmed pathway, we will reevaluate the retainer based on Hope City’s budget and resulting needs.
